Creating and managing voice mail


Creating and managing voice mail is similar to creating and managing e-mail. While you use a player/recorder to create and reply to voice messages, you address voice mail, choose delivery options, and so on, just as you do with e-mail.

The following table provides a quick reference to creating and managing voice mail.

Create a voice message
  1. Do one of the following:
    • In IBM(R) Lotus(R) iNotes(TM) click Mail - New Voice Message.
    • In IBM(R) Lotus(R) Notes(R), open the Voice Inbox and click New Voice Message.
    • Use the player/recorder to record the message. The maximum length for a recorded message is three minutes.
    • Click Send.
Reply to a voice message
  1. Open the message.
  2. Choose a reply option.
  3. Use the player/recorder to record the reply.
  4. Click Send.

Note If you choose to reply with history, your reply is included with the previous message to create a multipart voice message. The maximum messages that a multipart voice message can accommodate is approximately 12.

Forward a voice message
  1. Open the message, and click Forward - as Voice.
  2. Enter e-mail addresses of recipients.
  3. (Optional) Use the player/recorder to record a message to include with the forwarded message.
  4. Click Send.

Note If you record a message to send with the forwarded message, your message is included with the previous message, to create a multipart message. The maximum messages that a multipart voice message can accommodate is approximately 12.

Listen to a voice message
  1. Open the Voice Inbox, and double-click the message.
  2. Use the player/recorder to play the message. If the message is multipart, the player automatically plays the parts from most recent to least recent. To hear only a specific part, use the controls on the player/recorder.
  3. (Optional for Lotus Notes only) Add a private note to the received message. For example, add information about the sender or the purpose of the message. You can add a maximum of 15,000 characters as a private note. If you search for text in a document, the text of a private note is included in the search. Private notes are never forwarded or included in a reply with history.

Note In Lotus inotes you can only read private notes. You cannot create or edit a private note.

Flagging a voice message for follow-up
1. Open the message.
2. Perform the steps in the topic "Flagging messages for follow-up" in Lotus Notes Help.

Note For follow-up alarms to display or sound, you must set a Calendar Preference. Click Tools - Preferences, click the Calendar & To Do - Alarms tab, and click Enable the display of alarm notifications.
